Simple is Better is a CUIMC-wide initiative aimed at maximizing operational efficiency, removing workplace obstacles, and updating outmoded systems. The initiative will aim to reduce waste and streamline workplace processes to empower faculty and staff. Simple is Better is designed to ensure you can focus your energy on delivering the highest quality patient care, research, education, and community engagement.

The projects below represent the first round of projects undertaken by the Simple is Better team. We will continually update this page to reflect status updates and next steps.

Completed Requests

  • Heart Center LL3;Building entrance has been re-opened and access has been granted to the CUIMC community.
  • CUIMC Email Customization;Personalize CUIMC emails to reflect First/Last Names versus UNIs. To submit a request, please visit theCUIT website.
  • Parking Expansion;Parking privileges expanded to include all employee pay grades(based on application approval/parking availability). To submit a parking spot application, pleaseclick here.
  • Foster Grandparent/NICU Program;Although NYP's Foster Grandparent Program is no longer available, NYP's Cuddler Program is available on a limited basis at MSCHONY. For more information, please contact Program Coordinator Kat Connelly;lsj9009@nyp.org.
  • External Image Transfer;Electronic transfer/receipt of electronic images from external institutions feature is available via Ambra platform.
  • Epic Media Section;Epic team built the 'clinical documents only' filter in the Media tab and it is now active in the production environment.
  • Filtering Scanned Documents;Feature to filter scanned documents by specialty is now available in production environment.
  • Gym Benefits Expansion;Discounts for campus and neighboring gym facilities have been expanded to accomodate CU employees.

NYP/CU Communications

Objective:Expand the use of Microsoft Teams to facilitate collaboration between NYP and CU teams

Status:On Track

Latest Update:

  • Tri-institutional Teams shared channel testing phase is now live. Pilot group has been aiding with identifying potential technical enhancements.
  • Few application issues and access limitations have been identified and are being triaged with Microsoft and internal technical support teams.
  • Knowledge documentation is being finalized ahead of CUIMC rollout.

Space Management

Objective:Implement a hoteling system to manage shared space

Status:Complete

Electronic Time Keeping

Objective:Transition the use of Excel files for time keeping to a digitized format.

  • Driveway Access;•Facilities project manager has been engaged with landscape architect and is currently collaborating with engineers to develop solution for accessibility.

  • Student Housing Turnstiles;Team will engage Dean’s of students and student workgroups to further assess requirements.
  • Signage Installations;Collaborating with signage vendor to design signage proposal and explore digitized solutions.
  • Gym Redesign;Purchase order is currently under review by Purchasing department for processing and approval.
  • Hammer Building Temperatures;Optimization of work order/ticketing communication process is underway. Team is also exploring platforms for urgent notifications.
  • CUIMC Shower Facilties;Kick-off meeting held to review existing campus shower inventory. Findings shared with Executive Sponsors to facilitate next steps.

Epic Reports for Clinical Trials

Objective:Centrally create a set of reports that provide standard, useful, and needed data for all research projects across the organization and that minimizes the need of ad hoc report requests

  • Developing training modules for analytics tools, in collaboration with Shared Services, Epic efficiency tools, data use/retrieval.

Zero Day Access & Onboarding

Objective:Enhance the onboarding process and provide new hires with access to systems on the first day they join the organization

Status:On Track

Latest Update:

  • Team continues to onboard stakeholders to assess processes and identify areas for opportunity. Will begin organizing cross-institutional workgroups to determine business and functional needs, and review end-to-end requirements. All findings and potential solutions will be evaluated by leadership for final validation, assignment of resources and change management support.
  • Working sessions with HR leads going. Project roadmap and table of contents for frontline staff and management trainings have been validated. Onboarding survey benchmarking data is being reviewed and feedback will be incorporated into new strategy.

Next Steps

Stakeholder workgroup meeting slated for 9/11 to review current/future state end-to-end process map, high level strategy and business expectations.

Mandatory Research Trainings

Objective:Implement a fast track to complete regulatory training for research

Status:On Track

Latest Update:

  • 8 trainings have been identified for potential test-out options to be incorporated. Team will begin designing implementation process and developing timelines.

Optimization Strategy Expansion

Objective:Expand workflow optimization at the local level to research departments

Status:On Track

Latest Update:

  • Pre- Post- Award Process;Pre-award end to end workflows finalized. Post-award team end to end workflows are complete and pending review.
  • Trainee Management System;TMS will not be available until Fall; team will continue to collaborate with development team while awaiting launch.

Career Ladders

Objective:Create career ladders for research staff using the same methodology used in clinical mission

Status:On Track

Latest Update:

  • 18 job descriptions have been completed for Research career ladder strategy (6 of which are completely new roles). All materials are currently under departmental review.
  • Exploring potential collaboration with BioInformatics team to implement career laddering strategy. Team will be conducting an internal assessment in order to expand scope to include additional job roles.

Next Steps

  • Finalize future state structure
  • Review compensation findings and finalize compensation model
  • Current state assessment findings to be compiled and reviewed by Executive Sponsors and Dean Armstrong for validation

Talent Sourcing Management

Objective:Create pipelining routes for key talent from CU programs or outside institutions.

  • Departmental survey to identify potential roles to target for sourcing closed; team reviewing data to categorize findings and prioritize efforts.
  • Project possABILITY; currently reviewing existing job descriptions and implementing customizations.

People Development Center

Objective:Expand competency-based training curriculums to research mission

Status:On Track

  • Initial e-learning module has been drafted and voice-over script review is in progress. Additional content materials are in progress.

Research Staffing Express

Objective:Identify key roles (high attrition) and forecast pipelining of resources to reduce time to fill

Status:On Track

Latest Update:Presenting staffing express strategy to key stakeholders to incorporate key research roles in talent sourcing hot jobs.

Job Description Library

Objective:Creating a library of job descriptions that will expedite the requisition of new roles request

Status:On Track

Latest Update:

  • Project team reviewing Coordinator titles and all supporting data. Next step will be to identity job families, and scope trends in order to provide recommendations and set priorities.

Simplifying OR Paperwork

Objective:Project aimed at optimizing processes for medical paperwork required for surgical patients.

Status:On Track

  • Optimization and discovery efforts are ongoing. APEX team has provided a sample list of patients without completed PPSTs. Project team is investigating examples of pre-procedure forms outside of the PPST.

Phlebotomy Training Program

Objective:Implement an in-house training program for internal candidates to obtain phlebotomy training to support NYS certification requirements.

  • Meeting with stakeholders to review Nursing School/Simulation lab phlebotomy checklist to identify gaps and finalize program table of contents.
